When you remove your hands from the keyboard to use your mouse, you slow down significantly. Increase productivity with hot keys. No matter how slow you are on the keyboard, removing your hands can:
- Slow your keying (typing in the old days) down even further
- Cause your hands to return to the wrong place on the keyboard
- Reduce your productivity
Take a look at one of the best charts listing hot keys. In fact I would suggest that you print it so you will be able to refer to it as you learn the most important ones. Yes, that might slow you down but in the long run, your productivity will soar.
I want to talk about a few of the ones that I commonly use.
Highlighting a phrase or word:
Sometimes it is very difficult to control your mouse if you need to make a word or short phrase bold, italic or underlined.
Hold down the shift and use the left error key to highlight. For most people you can keep your right index finger on the j key and stretch your hand to the arrow keys. This will allow your fingers to return to the proper place to type. For those of you who hunt-and-peck, this will not be a problem
Bold, Italic and Underline
For each of these you can click the key in the toolbar with your mouse. You can click the format section and then the appropriate line in the drop down menu. But by far the most productive method is to hold down the Control (Ctr’l) key and hit the B for Bold, I for Italic or U for Underline.
Do this before and after the text that you want formatted. If the text has already been typed, you will need to highlight it first using the method described above.
Copy and Paste
Basically the instructions are the same as above but to do it through the toolbar you would use the Insert section. But back to the most productive way. (Ctr’l) key and the C will copy. But paste deviates some. The Hot Key using P is for Print so it can’t be used for paste. To paste use Ctr’l V.
I consider these the most important shortcuts to increase your productivity but as you master these, I would advice you to explore using some of the others listed on the chart referenced above.
